Problem: The client
had multiple critical business processes that were being performed
using Microsoft® Word™
and Excel™ Templates. All of this
information was being shared and discussed using internal emails and documents
were stored on the employees local machine. There was no way to
track progress, completion or approval.
Solution:
Converge Point was hired to create a global intranet that formed the
foundation to facilitating business collaboration between employees
across the client's different office locations.
The Converge Point team started with a business
analysis of key businesses processes that the client wanted to
streamline using the intranet. Meeting with key business
stakeholders, the team was able to determine the business value of
each of the existing processes as well as all proposed modifications
that would be preferred. Once the team had understood the needs of
the business, the next step was to create a project plan for the
re-engineering of these processes into collaborative workflow
enabled SharePoint sites that would enable employees to create,
share and approve information. A phased approach was planned with a
mix of business applications deployed in each phase based on
business need.
The Converge Point team was then able to develop
a master intranet page with sub-sites for each specific department
and related business processes. Document Libraries, Lists,
Discussion boards and other SharePoint features were used to create
business applications around the SharePoint platform. Custom web
parts using .NET were also created to resolve specific business
requirements. Active Directory was used as the permissions platform
and was used extensively to manage user access into a specific
business application sub sites. Workflow and alerts were incorporated
into the sites as required.
As the team completed the development and testing
of each phase of the project, business users were invited to test
the applications for accuracy and functionality.
On approval, the sites were deployed and are
currently in use.
